Manage and coordinate all activity and documentation for customer EV Charging and Energy projects for life of job. Proactively monitor customer requirements and schedules, anticipate and resolve and/or coordinate resolution of potential conflicts of customer requirements versus Horizon performance. Request and review submittals, with the appropriate personnel, for accuracy and determine any potential changes needed and obtain approval from vendors and/or representatives. Provide follow-up and communicate resolution to customer, vendor, and internal personnel.
Collect and compile data and information; create, update and maintain and manage records, data and information for EV Charging and energy efficiency programs, projects and jobs. Administer and update job tracking process and systems from lead identification to close of job. Responsible for data input and integrity within job/project files and systems.
Provide regular and continuous communication with engineers, installers, external partners and customers, and internal customers and departments to ensure the coordination of Horizon support services and job progress. Purchase and expedite job material through established processes consistent with customer and job requirements.
Proactively monitor customer commitments, requirements and schedules. Anticipate and resolve and/or coordinate resolution of potential conflicts of customer requirements versus Horizon performance. Communicate potential problems and changes with customers and resolve problems effecting customer satisfaction and/or Horizon profit.
Develop sub-contractor scope documentation, solicit sub-contractor bids, and complete bid negotiations. Utilizing quantitative and qualitative information, contractor relationship references, customer and Horizon preference criteria, make contractor selection.
Develop bill of material and coordinate logistics time-lines to meet customer and contractor needs on-site. Receive material on-site and inspect for order accuracy and damage. Resolve material and logistics problems to maintain project time-lines. Provide follow-up and communicate resolution to customer, contractor, and internal personnel. Ensures contractors receive site orientation and training and that all state/local code requirements and building permits, inspection and project close-out processes are followed.
Conduct pre-construction meeting and manage project through final review with customer, utility post-construction inspection and customer inspection.
Monitor order and shipment status relative to customer needs and job requirements. Process documentation and change orders in response to direct or indirect customer requests. Process orders within Horizon Business Systems, provide customer confirmation of status and monitor vendor commitments for compliance.
Lead and participate in the evaluation and enhancement of processes, procedures, systems and programs that positively impact work flow and program administration and improved project coordination. Recommend, design and/or assist with the implementation of changes that foster an environment of continuous improvement, increased effectiveness and efficiency for project work flow and documentation, effective and efficient program administration.
Act as the liaison and facilitate communication between Horizon and energy provider for program changes/updates. Proactively monitor energy provider requirements, customer requirements, vendor and internal demands and schedules; anticipate and resolve and/or coordinate resolution of potential conflicts of energy provider information versus Horizon and Horizon’s customer information.
Prepare financial summary data and submit data to accounts receivable for invoice creation for customer and public service rebate agency (i.e. utility). Ensure accurate project sell cost data, rebate agency incentive data and net customer invoice data.
Ensures that project work is performed in compliance with state, local and federal requirements and Horizon ethics. Adheres to and ensures that Horizon staff and sub-contractors adhere to all safety standards.
Establish and maintain a highly responsive relationship with internal and external customers, vendors, supplies and a variety of other Horizon business related personnel.
High school degree or equivalent combination of education and experience, required. Associates degree in Business Management, Project Management, Business Administration or equivalent preferred.
At least 2-5 years of experience in a sales, project or program coordinator/manager position within a contractor-oriented environment/function preferred. Problem solving experience and skills, strong organization and teamwork skills required. High volume, high accuracy data entry experience preferred.
Ability to accurately transcribe numbers and letters information from black and white paper and computer display. Ability to decipher verbal information and instructions in person, via telephone and electronic media. Ability to communicate information in-person, via telephone and electronic media.
Ability to read electrical/mechanical specifications, identify and develop a bill of material. Ability to determine and negotiate product and labor costs, establish competitive pricing and project plans in a pre-sales environment preferred.
Demonstrated strong verbal and written communication skills required. Excellent computer skills including MS Office and project management software with an emphasis on excel skills required.
Ability to communicate instructions, recommendations, negotiates and provides instructions verbally and in writing. High degree of coordination and the ability to plan and prioritize tasks of this position and work of others.
